Invites come in.

BidIntell checks each one against your trade, area and GCs first.

Your takeoff time, by hand or with AI, goes only to the bids that fit.

01The problem

Your bid boards deliver the invitations. The hard part is deciding which ones deserve estimator time.

BidIntell reads the invitation, and the drawings and specs when you include them. The label is Open & assign, Worth a look, or Likely skip, with a clear why.

A

Skip the ones that will never be priced

Cut time spent on invitations that were never going to be priced.

→ estimator hours stay on real opportunities
B

See fit signals early

See fit signals early — project, scope, client — without downloading the whole package first.

→ Open & assign / Worth a look / Likely skip before the full drawings
C

Keep time for work you can win

Keep estimating time for work you can win.

→ pursue or pass, with a clear why
02How it works

Inbox. BidIndex. Brief. Board. Submit. Follow up.

The decision loop after the invite lands — not a capacity forecast, not a second estimating tool.

1

Forward the invite

The invite is enough to start. Drop the PDF or forward the email — BidIntell reads it so you're not the one digging through 200 pages to find the call.

BidIntell scores up to 3 PDFs per email. Each file can be 25 MB. About 25 MB of attachments total per email. Gmail and Outlook usually cap attachments around 20–25 MB. For a bigger bid set, upload the PDFs in the app (Analyze). Google Drive and OneDrive links in the email aren't read.

2

Get a BidIndex + a Brief you can trust

One whole number, 0–100, across Project Fit, Scope Fit, and Client Fit — weighted to your business, honest about what's unknown. The label is Open & assign, Worth a look, or Likely skip.

3

Track submission, follow up with approval, log the outcome

Keep the bid on the board through submit and professional follow-up — drafts you approve, never silent sends — so the next call gets sharper.

03Who it's for

Specialty commercial subcontractors — any CSI division.

If you receive bid invites and have to decide which ones deserve estimator time, BidIntell is built for you.

Built for

Specialty subcontractors

Any specialty trade bidding commercial work — openings, finishes, specialties, furnishings, mechanical, electrical, roofing, structural steel, and the rest. Fabricators bidding as specialty contractors are in. Analyze invites, brief the ones that deserve time, track submission, and follow up until you have a clear outcome.

Not for

Who should skip BidIntell

  • Not for general contractors. You bid TO a GC. BidIntell is not a GC bid-leveling tool.
  • Not for residential. Commercial specialty work only.
  • Not for distributors or manufacturers’ reps who can’t decline. If you have to quote every invitation that comes in, a bid/no-bid filter is the wrong product.
04Personalized scoring

Same bid. Different score. That's the point.

A drywall contractor with a 50-mile radius and a roofing contractor across the state should never get the same recommendation on the same job. BidIntell weights every bid the way you prioritize.

✓Weight the score the way you actually decide — Project Fit, Scope Fit, and Client Fit
✓Or start from a preset that fits how you bid — Relationship-First, Trade Specialist, Market-Volume
✓Know whether your scope is actually in the spec book — matched to your CSI sections, not a keyword guess
✓Pay-if-paid, retainage, vague scope — surfaced on page one, not discovered at signing

05Outcome tracking

Every bid outcome builds your intelligence edge.

Won, lost, passed, or never pursued — BidIntell tracks every outcome and captures why. Over time, patterns emerge: which project types you win, where follow-up closed the loop, where your sweet spot really is.

✓Outcome recording: Won, Lost, Passed, No Bid
✓Decline reasons captured — too busy, bad contract, wrong trade
✓Win-rate tracking by trade, location, and project type
✓Follow-up until you have a clear outcome — clients are partners, not the problem
06Learns your business

The more you log, the sharper it gets.

Most software is as smart on day one as it ever gets. BidIntell is different — every bid you analyze, outcome you track, and client you rate feeds your own scoring engine. Your recommendations sharpen the longer you use it, tuned to your trade, your clients, and your market.

✓Competitive Pressure Score — built from the bidder counts you log, live after 3+ outcomes on a client
✓Bid Risk flag — warns when multiple risk indicators stack up
✓Client reputation — response and payment reliability from your own logged outcomes
✓Your data stays yours — every score is private to your account

07How scoring works

What the BidIndex Score actually measures

The BidIndex is a fit score — not a win probability. It's a triage tool: spend time on bids worth chasing, skip the ones that aren't.

You set the weights

Three sliders — Project, Scope, Client. The percentages below are default weights.

In Settings → Scoring, every contractor tunes how much each bucket counts toward their BidIndex. Push weight to what matters for your company; the three must add up to 100. Keywords move the index by a bounded amount. Pay-if-paid and other contract terms are flagged with the document and page and never change the score. That's why the same bid scores differently for two companies.

Default weighting ◆ adjustable per account

Project Fit
default · you set yours

The kind of job you want: distance from your office vs. the service radius you set, plus building-type preference. Closer scores higher. A match on your target project types boosts the bucket; a non-match stays neutral. If location doesn't matter for you, its signal drops out of the index.

Scope Fit
default · you set yours

Is this your work? CSI MasterFormat section codes plus the trade terms you set — reading spec headers, drawing sheet prefixes, and invitation scope. Section-level matching (09 65 00) is far more precise than division-level.

Client Fit
default · you set yours

Want this GC? Looks up the named client against your Clients list — your star rating, win history, and (after 3+ logged outcomes) Competitive Pressure from bidder counts you recorded. Your history is private to your account.

GC / client match Win rate Competitive Pressure

Favorable and risk keywords move the index by a bounded amount. Pay-if-paid and other contract terms are flagged with the document and page and never change the score.

Each invite gets a 0-100 BidIndex. Higher scores are a better fit for your company, and the label tells you whether to open it. See how scoring works.
