These Terms of Service ("Terms") govern your use of BidIntell ("Service"), operated by BidIntell ("we," "us," or "our") at bidintell.ai. By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
BidIntell is a bid desk for construction companies. It reads bid invitations, drawings, and specs, and returns an explainable go/no-go — Open & assign, Worth a look, or Likely skip — so estimator hours go to work worth winning. You can also keep company settings, a client list with ratings, and a log of bid outcomes.
To use the Service, you must create an account with a valid email address. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. You must be at least 18 years old and have authority to bind any business entity on whose behalf you use the Service.
New accounts receive a 7-day free trial with no credit card required. Cancel before day 8 and you pay nothing. After the trial, plans are:

Subscriptions are billed monthly or yearly via Stripe. By providing payment information, you authorize us to charge your payment method on a recurring basis. Subscriptions automatically renew unless cancelled before the renewal date. You may cancel at any time through the in-app billing portal or by contacting support. No refunds are provided for partial billing periods.
You agree to use the Service only for lawful business purposes. You must not:
You retain ownership of all documents, data, and content you upload to the Service ("Your Content"). By uploading content, you grant us a limited license to process and analyze it for the purpose of providing the Service to you. We do not sell Your Content or share it with third parties except as necessary to operate the Service (see Privacy Policy).
AI analysis outputs generated from Your Content are provided for informational purposes only and do not constitute legal, financial, or professional advice. You are responsible for all bid decisions made using the Service.
BidIntell uses AI to analyze bid documents and score opportunities. AI analysis is probabilistic and may contain errors or omissions. BidIntell scores and recommendations are decision-support tools, not guarantees of outcomes. We are not liable for any business decisions made based on Service outputs.
The BidIntell platform, including the BidIndex scoring system, AI models, interface design, and documentation, are proprietary to BidIntell. Nothing in these Terms transfers any intellectual property rights to you except the limited license to use the Service as described herein.
We strive to maintain high availability but do not guarantee uninterrupted access. We may perform maintenance, updates, or modifications to the Service at any time. We will provide reasonable advance notice for planned downtime when possible.
To the maximum extent permitted by applicable law, BidIntell shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, revenue, data, or business opportunities arising from your use of or inability to use the Service. Our total liability to you for any claims under these Terms shall not exceed the amount you paid to us in the twelve months preceding the claim.
You agree to indemnify and hold harmless BidIntell and its officers, employees, and agents from any claims, damages, or expenses (including reasonable attorney's fees) arising from your use of the Service, violation of these Terms, or infringement of any third-party rights.
Either party may terminate the agreement at any time. We may suspend or terminate your account for violations of these Terms, non-payment, or any conduct we determine to be harmful to the Service or other users. Upon termination, your right to use the Service ceases immediately. You may request an export of your data within 30 days of termination by emailing hello@bidintell.ai.
We may update these Terms from time to time. We will notify you of material changes via email or an in-app notice. Continued use of the Service after changes become effective constitutes your acceptance of the revised Terms.
These Terms are governed by the laws of the State of Kansas, United States, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Kansas.

This Privacy Policy explains how BidIntell ("we," "us," "our") collects, uses, and protects information when you use our Service at bidintell.ai.
Account information: Name, email address, company name, job title, business address, and trade categories when you register. If you sign in with Google, Microsoft, or LinkedIn, we receive the account identifiers those providers share with us (typically name and email) to create or authenticate your account.
Bid documents: PDF and other documents you upload for analysis, and the original email when you forward a bid. BidIntell reads them, including the drawings and specs, to extract project details and score the bid. Files you upload are kept until you delete the project they belong to. Deleting the project deletes them. There is no way to delete one file on its own. Forwarded email originals, including their attachments, are kept 90 days. Deleting the project deletes a forwarded email that is still inside those 90 days. The text we extract from your bid documents and the scores are saved with the project and kept until you delete the project, even after the 90-day email cleanup. We keep the originals in private storage so the page cites in your results can be checked. You can ask us to delete your account by emailing hello@bidintell.ai. We do not use them to train models. We do not sell them, and we share them only with the service providers that process them for us (listed in section 4 below). A link stored from an email keeps the site. Tokens in the query string are removed, except a short list of view settings. Share-link tokens are removed for Egnyte, Box, Dropbox, SharePoint, and Google Drive, after Outlook Safe Links and Proofpoint wrappers are opened. On any other site, a path segment is kept only when every hyphen-separated part of it is letters only and under 16 characters. Anything else in that path is replaced with [redacted]. Bluebeam Studio session ids are removed from the query string and from the path. SmartBid and iSqFt project ids sit in the query string and are removed with it.
Bid and outcome data: Project scores, bid amounts, win/loss outcomes, GC and client records, and other business intelligence data you enter.
Usage data: How you interact with the Service, including features used, pages viewed, and actions taken. This is collected via Google Analytics (GA4) and our own event logging.
Payment information: Payment processing is handled by Stripe. We do not store your credit card numbers — Stripe handles all payment data under their own privacy policy.
Communications: Emails you send us or replies to our emails.
We do not train on customer bid documents. Bid PDFs and extracted bid data are used only to provide the Service to your account: to analyze and score bids, so page cites can be checked and the job re-read. They are not used to train our AI models or anyone else's. Usage data is used for analytics only.
When you upload a bid document, it is sent to Anthropic's API for analysis and data extraction, with OpenAI used as a fallback. Each provider processes this content in accordance with their privacy policy and API usage terms.
Extracted data and analysis results are stored in your account and used to generate scores and recommendations.

We do not sell your personal information or bid data to third parties. We share information only as necessary to operate the Service (with the providers listed above) or as required by law (e.g., court orders or legal process).
We implement industry-standard security measures including encrypted connections (HTTPS/TLS), row-level security policies in our database, and access controls. However, no system is 100% secure — you use the Service at your own risk. Please use a strong, unique password for your account.
We retain your account data for as long as your account is active. You can ask us to delete your account and data at any time by emailing hello@bidintell.ai. We delete it by hand and confirm when it's done.
Files you upload are kept until you delete the project they belong to. Deleting the project deletes them. There is no way to delete one file on its own. Forwarded email originals, including their attachments, are kept 90 days. Deleting the project deletes a forwarded email that is still inside those 90 days. The text we extract from your bid documents and the scores are saved with the project and kept until you delete the project, even after the 90-day email cleanup. Canceling does not delete the project. The originals stay in private storage so page cites can be checked and the job re-read. The daily cleanup deletes a forwarded email after 90 days, including one that is no longer attached to a project. A file you upload is not part of that cleanup. You can ask us to delete your account sooner by emailing hello@bidintell.ai. BidIntell does not connect to Procore today. When that connection ships, documents fetched from Procore are read to score the bid and kept for 90 days under the forwarded-email rule above.

We use essential cookies to maintain your login session. Google Analytics uses cookies to collect anonymized usage data. You can disable analytics cookies through your browser settings or a browser extension — this will not affect your use of the Service.
The Service is intended for business professionals aged 18 and older. We do not knowingly collect personal information from individuals under 18. If you believe a minor has provided us with personal information, please contact us and we will delete it.
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notice. The "Last updated" date at the top of this page reflects the most recent revision.
